Everyone realizes by now that the paperless office is a myth. The computer has not only not eliminated the need for paper, it has expanded productivity, making it possible to juggle more projects. Busy people on the go need to not only manage multiple collections of papers, but take them with them. Those old office oddities, expanding file folders, are now an essential tool in any office and home budget center.
Expanding folders are no longer a specialty item, and come in many sizes, materials, and colors, to meet every need, from the kitchen to the boardroom. Expanding file folders share a few common traits: a sturdy front and back cover, joined by an accordian-pleated or W-folded section. The back cover extends to form a flap that holds the contents in, even when full. Most expanding file folders use an elastic cord to hold the flap in place, but some of the newer ones use velcro tabs.
If you have a small office with no room for a large file cabinet, one or more expanding file folders can be all you need. For the kitchen or studio, colored plastic expanding file folders are ideal, from coupon and envelope-sized, to letter and legal-sized units. For more formal business, folders are available in leather-look. The traditional kraft paper models are still the most common, but the polyethylene ones are both durable and water-resistant, more suitable for portable use, and they come in translucent colors for easy identification.
When choosing expanding folders, you also need to consider not only the size, but how you will organize the contents. Expanding file folders have one or more pockets, dividers between each "W" fold in the expanding section. The most common number of pockets is 13--one for each month, plus an extra-but models are available with seven (for days of the week) to 19, 21, or 26, for alphabetical filing. The ones with less than 26 pockets double up on less-commonly used letters. Most expanding file folders have pre-printed tabs on the pocket dividers, but some have customizable labels. Some models have a U-shaped cutout in the pockets, so you can easily find documents in a less-formal organization system.
Single-pocket folders may or may not have cover flaps, and are useful for holding a single large document. Most expanding folders will hold up to 75 pages per pocket, and expand from 1-1/2 to 5-1/4 inches overall size. The larger ones may have stiffened covers so they will sit upright on a table or desk when fully opened.
With expanding file folders, it is easy to take your work with you. You can have one for each project, or keep a group of small projects in separate pockets. For shopping, the coupon-organizer models keep your coupons sorted by product type or store. The folders are economical, too. If you use the monthly-organizer method, you can simply store the folder at the end of the year and start a new one.
